Job Description Summary:

A Contract Analyst prepares, reviews, and distributes contracts to clients (public and private sectors) and subcontractors under the direction of Project Managers with a direct report to the Controller. They run stock project costing reports for management, and audit processes relating to project billing.

Duties and Responsibilities:

CONTRACTS

• Review, interpret, and maintain contract documents received from clients
• Prepare, distribute, scan and file contract documents for subcontractors and clients
• Identify and obtain project securities (bonds, insurance, etc.) requested by clients
• Maintain project change order summaries

ACCOUNTING & SYSTEM

• Initial project setup for Fast Forest, Grower’s Choice, and Gateman-Milloy Inc. projects in Streetsmarts system
• Prepare project costing reports and participate in analysis and meetings
• Train Project Managers on Streetsmarts job cost system
• Imports project budgets from divisional estimating systems and balances to the estimate
• Input subcontractor and client invoices into Streetsmarts system
• Approve change orders and enter data into PM module

INSURANCE & COMPLIANCE

• Request insurance for projects as specified in subcontract agreement
• Maintain up to date project insurance, subcontractor WSIB files and form 1000s

RESIDENTIAL

• Process, review, and file Agreements of Purchase and Sale for Millgate Homes
• Set up home purchaser file
• Prepare PDI package and Tarrion Warranty letters
• Calculate occupancy dates for home buyers
• Create work orders to rectify and Tarrion Warranty issues

LEGAL

• Ad hoc legal clerk duties as requested from time to time
• Prepare and send documents to Lawyer when necessary

 

Qualifications:

• Proficient in legal and contract English
• Ability to enter data and submit queries on database ERP system
• Communication skills (facilitation, listening, verbal, written, presentation, negotiation); to negotiate, agree and document contracts with clients, subcontractors, and all levels of internal staff are required
• Relationship management skills in order to comfortably and effectively interact with clients, subcontractors, and all levels of internal staff are required
• Some construction aptitude / understanding of construction concepts in order to better understand the subject matter of the contracts is an asset
• Familiarity with insurance and indemnities
• A university degree or college diploma in a field related to business administration, accounting, law clerking, or relevant years of experience is preferred
• Some experience in interpreting legal documents
• Cost accounting and reconciling skills
